We wrote this policy in plain English because you deserve to know exactly what happens with your information. No legal gymnastics, no fine print tricks.

Who we are

Trakkr is the data controller responsible for your personal information. We are based in the United Kingdom, and this policy is governed by UK data protection law (the UK GDPR and Data Protection Act 2018). Questions, requests, or complaints? Email us at mack@trakkr.ai.

Encrypted in transit and at restDelete your account anytimeWe never sell your data

01What we collect

In short: Only what we need to run Trakkr

When you use Trakkr, we collect the minimum information needed to make the product work. Here is exactly what that includes:

Account basics

Your email address and name when you sign up. If you use Google to log in, we get your name and email from Google. That is it.

Your brand data

The domains, company names, and prompts you set up for tracking. This is the data you choose to give us so we can monitor AI mentions for you.

Connected sites and crawler data

If you connect a website, we store the connection details needed to provide that integration, including encrypted access credentials. Crawler tracking can collect request time, requested URL, referring URL, request method, response status, crawler name and User-Agent, IP address, and country code. Query strings and URL fragments are removed by the WordPress plugin before the record is stored or sent to Trakkr. A User-Agent can be imitated, so a crawler label is a claim unless Trakkr can verify it from other network evidence.

How you use Trakkr

We track which pages you visit and features you use. This helps us understand what is working and what needs improvement. We are not tracking your every move, just getting a sense of how the product is used.

Payment info

Stripe handles all payments. We never see or store your full credit card number. We only get the last four digits and basic billing details to show your transaction history.

02How we use it

In short: To make Trakkr work for you

Everything we collect has a purpose. Here is what we do with your information:

  • Run the AI visibility tracking you signed up for
  • Collect and display crawler activity from websites you connect
  • Send you reports and alerts about your brand mentions
  • Process your payments and manage your subscription
  • Send important updates about your account or the service
  • Answer your questions when you reach out to support
  • Improve Trakkr based on how people actually use it
  • Keep the service secure and catch any suspicious activity

We do not use your data for advertising. We do not build profiles about you to sell to others. The business model is simple: you pay us for a useful product.

Under UK data protection law, we rely on a few legal bases for using your data: to provide the service you signed up for and bill you for it (performing our contract); our legitimate interests in operating, securing, and improving Trakkr; your consent where we ask for it (such as optional advertising cookies); and meeting our legal obligations (like keeping tax records).

03Who we share with

In short: A handful of trusted partners

We are pretty protective about your data. Here is who gets to see it:

Our infrastructure partners

We use services like Supabase for our database, Cloudflare and Google Cloud for hosting and infrastructure, and PostHog for product analytics. They have access to the data they need to do their job, and they are all bound by their own privacy commitments.

AI model providers

Trakkr works by measuring how AI platforms answer questions about your brand, and by using AI models to analyse the results. To do that, we send the prompts and brand details you set up to the AI platforms we track and to the model providers that power our analysis (such as OpenAI, Anthropic, and Google, along with other specialist model providers we use to generate your results). We only send what is needed to produce your analysis. We never send your password, and your payment details never leave Stripe.

Payment processors

Stripe handles all billing. They need certain info to process your payments, and they are trusted by millions of businesses worldwide.

Advertising and analytics partners

On our public website, advertising and measurement tools from Meta, Google, and LinkedIn help us run and measure our ad campaigns. See the Cookies section for the details and how to opt out.

Connected AI assistants

If you connect Trakkr to ChatGPT, Claude, or another MCP client, that assistant can receive the Trakkr data you ask it to fetch, such as brand visibility, citations, prompts, reports, actions, crawler data, and related account metadata. Hosted clients receive connector tokens, not your raw Trakkr API key.

When legally required

If we get a valid legal request (like a court order), we may have to share information. We would only share what is specifically required.

If we are acquired

If another company buys Trakkr, your data would transfer to them. We would give you notice before this happens.

We will never sell your personal information to advertisers, data brokers, or anyone else.

04How we protect it

In short: Encryption everywhere

Security is not just a checkbox for us. Here is how we keep your data safe:

  • All data is encrypted when it travels over the internet (TLS)
  • All data is encrypted when it sits in our database (AES-256)
  • We use secure, reputable infrastructure providers
  • Access to your data is limited to team members who actually need it
  • We regularly review our security practices

That said, no system is 100% bulletproof. We do our best, but we cannot guarantee absolute security. If you ever notice something suspicious with your account, please let us know immediately.

05How long we keep it

In short: As long as your account is active

We keep your data for as long as you have an account with us. After you close your account, we delete your personal information within 30 days.

Disconnecting a crawler-only website connection deletes the credential stored for that connection. If crawler tracking reuses a separate publishing connection, that publishing credential remains until you disconnect it separately. The WordPress plugin deletes synced crawler rows from the site’s database after 30 days and unsynced rows after 90 days. Crawler records already received by Trakkr follow the account retention and deletion rules above.

Some things stick around a bit longer for legal or business reasons:

  • Transaction records (we need these for accounting)
  • Security logs (in case we need to investigate something)
  • Data we are legally required to keep

Want us to delete everything? Just email us at hey@trakkr.ai and we will take care of it.

06Your rights

In short: Access, correct, delete anytime

Your data, your rules. Here is what you can do:

  • See what data we have about you
  • Get a copy of your data in a portable format
  • Fix anything that is wrong or out of date
  • Delete your account and all associated data
  • Object to how we are using your data
  • Withdraw consent at any time

Most of this you can do right from your account settings. For anything else, just email hey@trakkr.ai. We aim to respond within 48 hours.

You also have the right to complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator, though we’d appreciate the chance to put things right directly first.

07Cookies

In short: Essential, analytics, and ad measurement

We use cookies, but not in a creepy way. Here is the breakdown:

Essential cookies

These keep you logged in and remember your preferences. The site would not work properly without them.

Analytics cookies

These help us understand how people use Trakkr so we can make it better. We use PostHog, which is privacy-focused and does not sell your data.

Advertising and measurement cookies

On our public website we use a small number of advertising and measurement tools set by those networks: the Meta (Facebook) pixel, Google Ads, and the LinkedIn Insight Tag. They help us measure how well our ads work and reach people who might find Trakkr useful. They are not used to sell your data.

You are in control of these. You can block or clear cookies in your browser settings, use private-browsing mode, or opt out directly through Meta, Google, and LinkedIn. Essential features will keep working; some pages may just be less personalised.

08International transfers

In short: Protected wherever it goes

Trakkr is based in the UK, but our infrastructure spans multiple countries. Your data might be processed in the US, EU, or other regions where our service providers operate.

When data crosses borders, we make sure it stays protected. Where data is transferred outside the UK or EU, we rely on appropriate safeguards, such as the UK International Data Transfer Agreement, standard contractual clauses, or providers covered by a recognised adequacy framework.

09Children

In short: Not designed for under-16s

Trakkr is a business tool designed for professionals. It is not meant for anyone under 16, and we do not knowingly collect information from children.

If you are a parent and believe your child has somehow signed up, please contact us at hey@trakkr.ai and we will delete the account immediately.

10Google user data

In short: Send-only Gmail access, never read

Trakkr lets you connect your own Gmail account so outreach emails go out from your real address. This is entirely optional: you only connect Gmail if you choose to, and you can disconnect it anytime from your settings.

What we access

Only permission to send email on your behalf (the Gmail gmail.send scope). We never request or receive access to read, search, or download your inbox, messages, drafts, contacts, or any other Gmail data.

How we use it

Strictly to send the outreach emails you write and explicitly choose to send, from your connected address. Nothing is sent without your action.

How we store it

We store a Google authorization token, encrypted at rest (AES-256), so we can send on your behalf. We never store the contents of your mailbox. Disconnecting in Settings revokes Trakkr's access and deletes the stored token.

Trakkr's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

11Changes

In short: We will let you know

Laws change, our service evolves, and sometimes we need to update this policy. When we do, we will:

  • Update the "last updated" date at the top
  • Email you about any significant changes
  • Give you time to review before changes take effect

If you keep using Trakkr after we make changes, that counts as acceptance. If you disagree with a change, you can always close your account.

Questions about your privacy?

We are real humans who care about this stuff. Reach out anytime and we will get back to you within 48 hours.
