Agency Reports

Agency Reports puts recurring delivery and the portfolio report archive in one workspace. Use Schedules to decide what each client receives and when. Use History to download, retry, and audit reports that Trakkr has already made.

Schedules

A schedule sends a report for one client brand on a set cadence. Select New schedule, then choose:

The report takes its logo, portal name, and colour from your team's white-label branding. The schedule editor shows the current branding and links back to Settings if it needs work.

Before you save, select Preview. The preview shows the report content and client email as they will appear. Once saved, each schedule row shows the client, cadence, next send, recipient count, and state.

From a schedule row you can:

Approval before delivery

Turn on Require my approval before each send when a client update needs a human check. The Schedules tab places held reports in an approval inbox. Review the report, then approve or reject it before anything reaches the client.

This is useful for a new account, a sensitive reporting period, or any retainer where your team adds context before sending. Once the format and data are stable, you can edit the schedule and remove the hold.

History

The History tab is the archive of generated reports across every client brand you can access. It shows the client, creation date, page count and file size, and state.

ReadyThe file is complete and available to download.
FailedThe report could not be made. Select Retry.
ExpiredThe old file is no longer available. Select Retry to make a fresh copy from the saved setup.

Search by client or report, and filter the archive by state. Ready rows can be downloaded. Failed and expired rows can be retried. The archive also records whether a report was emailed and when it was sent.

History refreshes while you have it open. If Trakkr loses its connection after loading data, the page keeps the saved list visible and tells you it may be out of date.

On-demand reports

Schedules are created on this page. An on-demand report is different: select Ask Agent to generate and describe what you need. For example:

The Agent uses the chosen brand, white-label settings, and recipients to prepare it. The completed report appears in History, alongside reports made elsewhere in Trakkr.

A simple client reporting routine

  1. Set one schedule per client and match its reporting window to the contract.
  2. Turn on approval for the first few deliveries.
  3. Preview and send a test.
  4. On reporting day, review any held sends before the client receives them.
  5. Use History to confirm delivery, download a copy, or retry a failed file.

For a quarterly review, pair the report with Portfolio Results. The report gives the client a clean record. Results helps your team choose which measured outcomes need explanation in the call.

Plan access

Agency Reports needs Agency access. The Agency area appears for a self-declared agency or a team marked as an agency, once the account's Agency entitlement is confirmed. Availability and limits follow your current plan or contract.

Common questions

Why can't I create an on-demand report from History?

History is an archive. Use Ask Agent to generate for a one-off report. Use New schedule on the Schedules tab for recurring delivery.

Can I create a recurring report here?

Yes. Open Schedules and select New schedule. The earlier PDF Exports page did not create schedules, but Agency Reports does.

Can I stop a send without losing the schedule?

Yes. Pause the schedule. Its past delivery history stays available, and you can resume future sends later.

Can I check a report before the client gets it?

Yes. Turn on Require my approval before each send. The next prepared report will wait in the approval inbox.

Does a client see Agency Reports?

No. This is an agency workspace. Clients receive the live link or PDF you choose. Their access to reports in the portal follows the client portal feature and export permissions.

What happens when a report fails?

Open History and select Retry. If the same client keeps failing, first check that the brand has completed report data for the sections you included.
