Client Management
The Clients section in Settings: White-Label manages portal identities. It is separate from the Team tab: a client gets read-only access to the brands you grant and does not become an agency teammate.
Invite a client
Select Invite client, then enter an email address and an optional personal message. Choose one of two access shapes:
- Selected brands: grant one or more named brands.
- Invite to all for a brand group: grant the whole group. Brands added to that group later appear for the client automatically.
You can either send a branded email or create a shareable invite link. Link mode is useful when your account lead wants to send the invitation in their own message.
Group access and selected-brand access are separate choices in the invite form. Use a group only when its future membership should also be client-visible.
White-label brand billing
The invite form marks brands that do not yet have white-label client access and shows the billing effect before you confirm. Once a brand is enabled, adding more client users to that same brand does not add another white-label brand slot.
If your account has Agency access but not the client-facing white-label entitlement, you can review the Clients section but cannot publish a new client portal invite.
Read the client list
The list separates Group access from Brand access. It shows total, active, pending, and inactive clients. Search matches the client email or name and the linked brand or group.
- Pending means the invitation has not been accepted.
- Active means the client has accepted and has recent portal access.
- Inactive flags a client who has not been active recently. It is a prompt to check in, not an access error.
Open a client to see account details, linked brands, invite history, recent activity, and feature use.
Manage a pending invite
For an email invite, you can resend it. For a link invite, copy the saved invite link. You can cancel either kind before it is accepted.
The invite form warns when you use your own email or an address that may already belong to another Trakkr context. Use a separate client address for a true portal test.
Manage an active client
From the client detail drawer you can:
- Review the granted brand.
- Turn Can export data on or off for that client.
- Send a password reset email. The link lasts 24 hours.
- Review login and feature-use activity when available.
- Revoke access.
The per-client export setting works with the shared portal export setting. The client needs both before export is available.
Revocation stops access. It does not delete the brand, its reports, or the agency's tracking data. You can invite the person again later.
Email and link invites
Use an email invite when your branded sender domain is verified and you want Trakkr to deliver the invitation. Use a link invite when an account lead wants to add personal context in their own email or message.
Anyone who receives a shareable link could try to use it, so send it through a channel you trust. The invited email still identifies the intended client.
Common questions
Does a client consume a team seat?
No. Portal users and teammates use different access systems.
Can one person see several brands?
Yes. Select several brands on the invite, or grant a whole group.
What if the group changes later?
A group client sees the current group. Adding a brand adds it to their portal access; removing a brand removes it from that group view.
Why can a client see the portal but not export?
Check both controls: Allow data export in Features and Can export data on the client.
Can I turn a client into a teammate?
Invite the same email from Team when the person should work inside your agency account. Team membership carries different permissions and consumes a team seat.
Can I see exactly what they did?
Use the client activity panel for engagement and Logs for portal events. Log availability follows the configured retention period.
